Administrative Assistant / Receptionist

This unique opportunity will have dual responsibilities, including:
Reception
Greet and direct all visitors, including vendors, clients, job candidates and customers
Forward calls, including customer escalations, to department members based on established criteria
Manage the company''s lobby area
Ensure completion of paperwork, sign-in and security procedures
Ensure adequate phone coverage at all times
Support the Talent Acquisition Function
Manage all logistical aspects related to candidate scheduling: phone screens, Skype interviews, and on-site interviews both with candidates and interview teams. Includes arranging candidate travel arrangements when necessary.
Register & coordinate logistics related our university recruitment program including scheduling on campus events and managing recruitment timelines to ensure all deadlines are met
Organize and coordinate logistics & scheduling for on-site recruitment fairs and interview events and register and coordinate all logistical arrangements for recruitment team attendance at minority and/or regional recruitment events
Run daily reports to ensure timely follow-up and scheduling of candidates
Work closely with TA Specialists to ensure Employee Referral Program Service Level Agreement is being adhered to, including referral and candidate follow-up
Update Applicant Tracking System daily with actions taken to ensure compliance
Initiate and monitor the pre-employment hiring process including the background check process
Manage the new hire on-boarding, ensuring that new hire has all the information needed before s/he starts, has completed all pre-start date check list items, and work closely with Hiring Managers and Talent Development and others to ensure a seamless process
Create reports in Applicant Tracking System and Excel
Perform other ongoing recruitment related projects as assigned
High School diploma or GED and 3 years of administrative support experience
Prior work experience in a Recruiting/Recruiting Coordinator role highly preferred
Highly organized and detail oriented
Demonstrated ability to multitask and prioritize in a constantly changing and fast paced environment
Demonstrated commitment to client service
Excellent verbal, written, and interpersonal communication skills
Outstanding follow-up, organization and planning skills
Ability to work independently, often without detailed instructions
Strong business ethics and ability to maintain a high level of confidentiality
High level of proficiency in Outlook, Word, Excel and PowerPoint
Prior experience working with an Applicant Tracking System highly desirable
Ability to work in a team atmosphere

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
